Overview

The Program Coordinator is to provide administrative project oversight of a narrower scope under the direction of a supervisor. Coordinates budget and accounting, space management, personnel management, overall management, contracts, and purchasing. Completes more routine tasks independently and relies on guidance from higher Program Manager (PM) levels for more complex tasks.

The Henry M. Jackson Foundation for the Advancement of Military Medicine (HJF) is a nonprofit organization dedicated to advancing military medicine. We serve military, medical, academic and government clients by administering, managing and supporting preeminent scientific programs that benefit members of the armed forces and civilians alike. Since its founding in 1983, HJF has served as a vital link between the military medical community and its federal and private partners. HJF's support and administrative capabilities allow military medical researchers and clinicians to maintain their scientific focus and accomplish their research goals.

This position will be in support of the Consortium for Health and Military Performance (CHAMP) under the Uniformed Services University department of Military Emergency Medicine.

Responsibilities
    Under supervision, ensures the terms and conditions of the award / funding vehicle are adhered. Assists in ensuring all required reports are completed and submitted on time.
  • Coordinates the processing and maintains and updates metrics, databases, and spreadsheets and assists in the preparation of regularly scheduled reports.
  • Supports team members with the organization and execution of research and educational projects. Includes submitting clearance requests, ordering and shipping supplies, and booking travel arrangements.
  • Communicates with internal staff and external customers. Negotiates with vendors and obtains quotes for equipment.
  • Provides administrative support under the direction of a supervisor such as hiring, purchasing, and tracking progress.
  • Input and monitor organizational workflow tasks and Standard Operating Procedures. Tracks and communicates progression to appropriate stakeholders.
  • Provides admin support to CHAMP Executive Director and senior leadership team.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attendance of and participation in required training for role.
Qualifications

Work Environment

  • This position will take place primarily in a office setting.

Education and Experience

  • Bachelor's Degree required
  • Minimum of 0 - 2 years experience required

Required Knowledge, Skills and Abilities

  • Knowledge of organizational objectives, the federal budget process, office automation.
  • Ability to work completely independently, use sound judgement in solving problems.
  • Coordinate many complex systems and programs simultaneously.
  • Knowledge of project management principles, and good communications skills.
  • Ability to obtain and maintain a T1 Public Trust.

Supervisory Responsibilities

  • Assigned Lead: May recommend the following: employee hiring, disciplinary action, and starting salaries; provide input on employee performance evaluations.
