SUMMARY

This position is responsible for providing quality, professional, and timely administrative support to the Engineering Services group, providing administrative support to the construction operating groups.

LOCATION Minneapolis, MN

RESPONSIBILITIES

  • Perform regular administrative tasks and overall office organization.
    • Coordinate and set-up meetings with internal team members and external guests, manage calendars and schedule travel.
      • Greet visitors and customers.
      • Schedule catering for meetings.
    • Set up, organize, and manage filing systems.
    • Manage document preparation, record keeping and filing.
    • Proofread and perform quality inspections of communications and documents.
    • Prepare billing and invoices as needed.
    • Assist project managers as requested with data flow and procore management.
    • Maintain Professional Engineering License tracking.
    • Assisting new hires with technology ordering, onboarding and orientation.
    • Track and communicate training.
    • Oversee shipping and receiving of UPS and other packages.
    • Maintain floor's kitchen and copy room supplies.
  • Understand the operating groups and company resources, coordinate support between 3 operating groups (Power, Energy Storage and Engineering).
  • Facility weekly meeting between the 3-groups as well as quarterly department meetings.
  • Work with cross company admins for planning of each year's Annual Meeting.
  • Assist operating group team members with miscellaneous duties, including expense reports, arranging travel and various other tasks as assigned.
  • Effectively work and build relationships with those of diverse backgrounds and organizational levels.

QUALIFICATIONS AND EDUCATION

  • Strong attention to detail.
  • Excellent organizational and multi-tasking skills, with the ability to be flexible as needed.
  • Proficient skills in Microsoft Word, Excel, Outlook, and PowerPoint, as well as Procore.
  • Active listening skills and effective communication including an openness to diverse input and feedback.
  • Proven positive and professional attitude and strong customer service skills.
  • Associate or bachelor's degree preferred.
  • Minimum three years of administrative support experience.
  • Construction-related business experience preferred.
  • Experience with billing, invoicing and timekeeping preferred.
