The Opportunity

We are seeking a Conference Services Assistant to join our team in the Washington D.C. office. The Conference Services Assistant assists with the delivery of Conference Center services to clients and internal customers and ensures conference rooms are prepared according to requested specifications. The Conference Services Assistant also assists with the logistics for special events, and completes basic audio/visual set ups as needed, assists with Visiting Attorney office assignments and serves as primary reception coverage.

  • Provides administrative support for the Conference Center to ensure availability of staff member to respond to requests for departmental services.
  • Assigns conference rooms and services as requested and coordinates efforts between departments to ensure that all services are provided seamlessly.
  • Monitors conference room requests to ensure timely and accurate completion of room set ups, food services, and audio/visual as requested.
  • Serves as primary reception coverage for 11th floor.
  • Performs basic conference room set ups as needed (i.e., configuration of chairs, tables, etc.).
  • Assists in solicitation of meeting and event feedback and weekly services review as requested.
  • Completes basic audio visual setups as requested.
  • Assists with logistics for large scale special events for clients and internal customers (e.g., 4th of July).
  • Tracks office supplies inventory and orders supplies as necessary.
  • Acts as back up to the Conference Services Supervisor in processing invoices, as needed.
  • Assigns Visiting Attorney offices as requested and provides communications to all relevant departments as needed for each visitor.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operations, policies, and procedures.
  • Performs frequent physical exertion including: standing, walking, bending over, twisting, reaching above shoulder level, pushing, pulling, repetitive use of both hands, lifting or carrying up to 20 pounds frequently and up to 50 pounds on an occasional basis.
  • Regular, physical in-office presence is required to perform the essential functions of this position.

Qualifications

  • Knowledge of or ability to learn Conference Services industry trends and techniques and audio/visual field and procedures (i.e., audio/visual equipment, techniques, and methodologies)
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Word, Excel), with the ability to learn new software and operating systems (e.g. EMS billing and invoicing)
  • Ability to interpret and follow instructions
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle multiple projects and shifting priorities
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education & Experience:

  • High school diploma or equivalent
  • Minimum of two years of related experience in a customer service or hospitality environment
