ERG is seeking a project assistant or administrative assistant to provide comprehensive administrative support for our dynamic team. The ideal candidate will play a pivotal role in ensuring smooth operations by efficiently handling various administrative tasks and contributing to the overall effectiveness of our team. The position is located at a federal site in Indian Head, Maryland, and will involve supporting the manufacturing team.
This position will be full-time at the federal site in Indian Head, MD, and will include interaction and support from ERG personnel at the federal site, as well as from ERG's Chantilly and Arlington offices. Indian Head is approximately 30 miles from Washington, DC, 25 miles from Alexandria, VA, and 60 miles from Fredericksburg, VA. Alternative work schedules may be considered.
Job Description:
  • Complete technical writing tasks including editing documents for consistency, ensuring logical and meaningful presentation of information, correcting style and format, verifying the accuracy of graphs, charts, and illustrations, and assessing readability and completeness.
  • Collaborate and communicate effectively with various stakeholders, including the engineering, research, and manufacturing departments.
  • Assist physical document management including document production and maintenance (i.e., printing, scanning, collating, distributing, and filing). Maintain a document/deliverable/reference library.
  • Perform data entry and data management using Navy systems.
  • Provide overall administrative and programmatic support that may include developing Microsoft Excel tracking documents and/or creating Microsoft Word templates.
  • Provide onboarding support to guide and assist newly hired individuals to integrate them into the team.
  • Assist team members with submitting timely and accurate expense reports for equipment, travel, meals, and miscellaneous expenses.
  • Assist team members with daily timesheets.
  • Coordinate and schedule meetings including reserving conference rooms, making necessary arrangements, etc.
  • Assist team members with preparing necessary onboarding and badging paperwork.
Qualifications and Skills:
  • Some experience relevant to the support described above.
  • Ideal candidates may have some college.
  • Editing or technical writing experience.
  • This position requires managerial skills/abilities, judgment, discretion, and knowledge of administrative and program principles, concepts, policies, and objectives within publication management.
  • Ability to independently plan, schedule, coordinate, and publish documents.
  • Proficient in Microsoft Office suite, including Word and Excel. Experience with Access is ideal.
  • Must currently hold or be able to obtain a Department of Defense Secret-level security clearance; Must be a U.S. citizen as this position is not eligible for Limited Access Authorizations.
